Part Time Executive Director (10 hours per week)

Job Description
1. Must be a certified or licensed school psychologist and member of NASP; otherwise eligible to practice as a school psychologist.
2. Provide membership services such as membership requests, maintain membership database software, conference registration, etc. Utilize the SCASP cell phone and respond to calls/ voicemails. Respond to calls, emails, and physical mail, in a timely manner (i.e., within two business days).
3. Monitor and approve membership applications and payments
4. Ensure that the mail is checked on a weekly basis and distributed to appropriate chairpersons. Ensure that mailbox registration remains current.
5. Develop a working relationship with conference sites and vendors. Assist the program committee with obtaining conference sites and speakers, planning and disseminating conference information. Necessary activities include, but are not limited to, the following tasks:
● arranging for catering,
● arranging for A/V equipment,
● working, under the direction of the board or program chair, to secure contracts and make technical arrangements with selected speakers,
● negotiating contracts with speakers - board approval should be sought for any contract requests exceeding the budgeted amount,
● maintaining contact with speaker until all bills are paid,
● acquiring plaques for awards,
● emailing handouts once received from speakers,
● arranging for blocks at local hotels.
● being present at conferences to handle registration questions,
● arranging for purchased services/remitting payment, and
● receiving and processing payment from registrants, vendors, and local universities or other credit-giving partners (including following up on any unpaid invoices)
● maintaining record of those checked in for attendance verification purposes
6. Email newsletter to members or to other groups/individuals as directed by the board. Respond to members’ request for a back copy of a newsletter. Assist in proofing of articles upon request of newsletter editor. If requested to proof an article, proofing should be completed within two business days.
7. Attend board meetings and conferences/workshops unless excused by the president.
8. Follow SCASP procedures in responding to requests for information from outside sources, including media.
9. Assist in maintaining and monitoring electronic media (to include, but not to be limited to, the website, Facebook) for the purposes of:
● posting information
● editing content
● removing content when it violates our media policy or research policy.
10. Maintain contact with the person responsible for posting employment opportunities to ensure the following: Update employment opportunities on the website on a regular basis and maintain contact with employers. Employment opportunities should be reviewed quarterly to ensure that they remain up-to-date and active.
11. Assist Treasurer in maintaining budget by:
● keeping checkbook and paying all bills,
● maintaining an Excel spreadsheet including income and expenses at the request of the Treasurer
● submitting all receipts to Treasurer as soon soon as deposited,
● remitting reimbursement consistent with SCASP policy within two business days of receipt of reimbursement request (but after the event for which reimbursement is requested), barring needed consultation with the treasurer regarding available funds,
● serving as a member of the finance committee, and
● assisting the treasurer in processing bounced checks and remitting payments for outstanding accounts.
12. Maintain all documents required by the state for our tax exempt status (yearly renewal applications).
13. Represent SCASP as requested at conventions/meetings of other associations, at the request of the board/president, and report back information to the board.
14. Maintain documents required for our “approved provider” status with NASP.
15. Maintain online meeting account and manage meetings when requested.
16. Respond to communications from members within two business days.
17. Maintain relationships with other stakeholders/partners through participation in a variety of coalitions.
18. Perform other duties as directed by the President. Consult with the President as to the history of SCASP including procedures and relevant activities in order to maintain the professionalism of the association.
The Director will be required to work independently. The Director will work at the direction of the Board and under the direct supervision of the President. The Director will be required to have access to a computer and internet access. Some light typing will be required; however a majority of the work will be in serving as a liaison to the Board and committees. The Director will be expected to develop the expertise needed to maintain the orderly functioning of the organization despite yearly changes in the board. The Director is employed at the will of the Board. There is a written contract of employment. The Executive Director will be evaluated according to directives established in the Bylaws.
